The full policy below is the one that applies.
1. Who we are
Just Show Up Club (“JSU”, “we”, “us”) is a nonprofit community run club based in Manila, Philippines. We organize free group runs, special events, and a community around them. For the purposes of the Data Privacy Act of 2012 (Republic Act No. 10173) and its implementing rules, JSU is the personal information controller for the personal data described in this policy.
Questions about this policy, or anything about your data, go to legal@justshowupclub.com. That inbox is monitored by our data protection contact.
2. What this covers
This policy covers personal data we collect through our website, our sign-up and registration forms, our runs and events, our social media accounts, our emails and messages, our merch store, and our membership program. It applies wherever we operate. If we run events or offer services outside the Philippines, the local rules in Section 9 also apply.
3. What we collect
Details you give us on the sign-up form. First name, last name, email address, mobile number, and your Instagram username or profile link.
Details we may ask for when you register for a specific run, event, or program. Your current city or address, an emergency contact person and their number, your Telegram username and number, your Facebook or other social handle, how often you plan to run with us, T-shirt size and similar details for merch or events, and anything you write in a form, message, or survey.
Health details. For some events we may ask about dietary restrictions or medical conditions we should know about. This is sensitive personal information under the Data Privacy Act. We ask for it only when we need it to keep you safe at that event, we use it for nothing else, access is limited to the organizers who need it, and we delete it after the event unless you ask us to keep it on file.
Photos and video. Images, video, and audio recorded at our runs, events, and activities, which may show your face, body, voice, bib, clothing, and location. See Section 6.
Website data. Standard technical data such as your device type, browser, approximate location from your IP address, and pages viewed. Our website does not currently set tracking cookies. If we add analytics or cookies later, we will update this policy and, where required, ask for your consent.
Maps. Our Cebu meeting spot has a Google Map. It does not load until you tap Show the map. Once you tap it, Google receives your IP address and browser details and may set its own cookies, under Google’s privacy policy. If you never tap it, nothing is sent to Google from that box. The Map, Get directions and Add to calendar links open Google or your own calendar app only when you click them.
Orders and membership. When our merch store and membership program launch, we will collect order details, delivery addresses, and membership records. Payments are processed by our payment provider; we do not store full card numbers.
Group chats. If you join our Telegram group or any other member chat, other members can see your Telegram profile and whatever you post there. Joining is optional and you can leave at any time.
From partners. If you sign up for a JSU perk or promotion through a partner or vendor, that partner may confirm to us that you used it, so we can track what JSU brings to its partners.
4. How we collect it
- Forms on our website and event pages, including email sign-ups and event registration.
- Check-in at runs and events, in person or through a form.
- Messages you send us on Instagram, Telegram, email, or other channels.
- Photographers and videographers who work with JSU at our runs and events.
- Partners and vendors, only as described in Section 3.
5. Why we use it
We use your personal data to:
- Run the club: schedules, run updates, route changes, weather calls, and cancellations.
- Keep you safe at events, including contacting your emergency contact if needed.
- Send newsletters and updates about the run club, special events, and the community.
- Tell stories: features about members, first races, milestones, and successes on our website, social media, newsletters, and other channels.
- Share offers, perks, and promotions from JSU vendors and partners that you have opted into.
- Run merch drops, process orders, and handle deliveries and returns.
- Run the membership program, including member IDs and member perks.
- Understand how the club is growing, through aggregated statistics that do not identify you.
- Meet legal obligations, respond to lawful requests, and protect the club, our members, and the public.
6. Photos and video
JSU is a community built on showing up, and we document it. Photographers and videographers work with us at most runs and events, and members also share their own photos with us.
Consent by participating. By attending a JSU run, event, or activity, you consent to being photographed, filmed, and recorded, and to JSU using that media as described here and in our Terms and Conditions. If you sign up through a form, you will also be asked to confirm this.
How we use media. On our website, social media, newsletters, presentations, press, applications for grants or sponsorship, partner and vendor content that features JSU, printed and digital promotional material, and merchandise design references. Media may be edited, cropped, and combined with other content.
Ownership. Media captured by JSU, or by photographers and creators working with JSU, is owned by or licensed to JSU. The details of that ownership and the license you grant us for your likeness are in the Terms and Conditions.
If you would rather not be in photos. Tell the run lead or the photographer before the run starts, and step out of frame during group shots. We will do our best to respect this, but at a group event of many people on public roads we cannot promise you will never appear in the background of a photo.
Taking a photo down. If you want a specific photo or video of you removed, email legal@justshowupclub.com with a link or screenshot. We will remove it from the channels we control within a reasonable time. We cannot recall media that has already been printed, shared by others, or delivered to partners before your request.
Public places. Our runs happen on public roads and in public spaces. Other people, including members, the public, and the press, may also take photos and video there. This policy covers media captured by or for JSU, not media captured by others.
7. Our legal basis
- Consent. When you sign up, register, or opt in, and when you attend our events, as described in Section 6. You can withdraw consent at any time by emailing us or using the unsubscribe link in any email. Withdrawal does not affect what was done before it.
- Legitimate interest. Running a safe, well-organized club, keeping our records, telling the club’s story, and growing the community, balanced against your rights.
- Contract. Fulfilling orders and memberships you have signed up for.
- Legal obligation. Where the law requires us to keep or share information.
8. Who we share it with
We do not sell personal data. We share it only with:
- People who help us run the club. Photographers and creators, volunteers and run leads, and service providers for email, forms, website hosting, analytics, payments, shipping, and the membership platform. They may only use your data to provide their service to us.
- Partners and vendors. Only what is needed for a perk, offer, or promotion you opted into, or aggregated numbers that do not identify you. We share your details with a partner for that partner’s own marketing only if you have separately said yes to it, and you can withdraw that yes at any time.
- Professional advisers, such as lawyers and accountants, under confidentiality.
- Authorities, when the law requires it or to protect the safety of our members or the public.
- A successor organization, if JSU reorganizes, merges, or transfers its activities, under the same protections.
9. Where your data goes
Some of our service providers store data outside the Philippines. Where that happens we choose providers with appropriate safeguards and keep your data protected to the standard described in this policy.
JSU plans to grow. Where we run events, chapters, or services in another country, this policy still applies, and we will also follow the local privacy laws of that place. If those laws give you more rights than described here, you have those rights. We may publish a local addendum to this policy for a specific country. If you are in the European Economic Area or the United Kingdom, the rights in Section 12 include your rights under the GDPR and UK GDPR, and you may also complain to your local supervisory authority.
10. How long we keep it
We keep your details for as long as you are part of the community or until you ask us to delete them, and for as long as we need them to meet legal, accounting, or safety obligations. Photos and video that tell the club’s story may be kept as part of our archive. If you ask us to remove a specific photo of you, we will handle it as described in Section 6.
11. How we protect it
We use reputable providers, limit who has access to your data, and keep our sign-ups and records in accounts protected by strong passwords and two-factor authentication where available. No system is perfectly secure. If a breach affects your data in a way the law requires us to report, we will notify the National Privacy Commission and you within the time the law sets.
12. Your rights
Under the Data Privacy Act you have the right to be informed, to access your data, to object to processing, to correct inaccurate data, to have data erased or blocked, to data portability, to be indemnified for damages caused by unlawful processing, and to file a complaint with the National Privacy Commission of the Philippines. Where we rely on your consent, you can withdraw it at any time.
To use any of these rights, email legal@justshowupclub.com. We may ask you to confirm your identity. We will reply within 30 days. If we cannot do what you ask, we will explain why.
13. Under 18s
Anyone under 18 may take part in JSU activities only with the consent of a parent or legal guardian, and that parent or guardian consents on their behalf to this policy, including Section 6. If you believe we hold data about a minor without such consent, email us and we will act on it.
14. Emails and marketing
We send emails and messages only to people who have opted in. When you opt in, you agree that we may use your details to send you run club updates, newsletters, stories, member features, event invitations, merch drops, membership information, and offers, perks, and promotions from JSU vendors and partners. Marketing that comes directly from a partner, and the sharing of your details with a partner for that purpose, are separate choices we ask you about on their own. Every email includes an unsubscribe link, and you can also unsubscribe by emailing us. Unsubscribing from marketing does not stop safety or transactional messages about an event or order you are part of.
Be conscious of what you share. Our sign-up form asks for the minimum. Whatever you choose to add on top of that, in a form, a message, or a group chat, you share at your own discretion. Please do not send us health details unless a form for a specific event asks for them.
15. Changes
We may update this policy as the club grows or the law changes. The date at the top shows the latest version. For significant changes we will post a notice on the website or email you if we have your address.
16. Contact
Just Show Up Club, Manila, Philippines. Data protection contact: legal@justshowupclub.com. If you do not agree with this policy, or with any use of your data or your image, please email us before or instead of participating.
